Joining a Meeting

Zoom is a cloud-based meeting platform that provides video, audio, and screen sharing options across multiple platforms, including mobile. You can access any Zoom meeting using either the URL or by entering the Meeting ID into the Zoom web or mobile app.

Logging In

  1. Click the Meeting URL provided by the host.

OR

Go to http://conferencing.psu.edu/

  1. Click Login in the upper right.
  2. Click the Join button.
  3. Enter your Access Account user ID and password, if needed.
  4. Enter the Meeting ID into the field.

NOTE: If the host has the meeting set up to block entry until they arrive, a message will display. When the host arrives you will automatically join the meeting.

NOTE: The first time you use Zoom in a new browser, you will be required to download and install the Zoom Launcher.

The meeting interface will load. The menu bar at the bottom of the window will hide and display as you roll your mouse over the area. If a meeting is being recorded, an icon will appear at the top of the window.

NOTE: Mobile app interfaces will appear differently but contain most of the same functionality. Movement between mobile screens is required to utilize all features.

Interacting in the Meeting

Using Audio

Using audio within the Zoom meeting requires you to have access to a mic that it is set up for your machine.

  1. Click the Unmute button in the menu bar at the bottom to begin talking.
  2. Click the Mute button to turn off your audio.

NOTE: Click the up arrow to the right of the Audio icon to display additional menu options. The Audio Options will allow you to test your mic and speakers or switch to an alternate audio source.

NOTE: The host can control the audio within the meeting. This means it can be muted and unmuted by the host at any time. Check the icons in the menu bar and the participants panel to determine your current audio setting. 

Using Video

  1. Click the Start Video icon in the menu bar at the bottom to begin your video.
  2. Click the Stop Video icon to stop sharing your video stream.

NOTE: Clicking the up arrow to the right of the Video icon to display additional menu options.

NOTE: When video is activated, display options are available in the upper right of the screen and in the upper right of each participant’s window in both Speaker View and Gallery View.

NOTE: If you choose not to use video in the meeting and video has been activated, your window will contain either your name, email address, or a photo, depending on how your profile is set up in Zoom. 

Using Nonverbal Feedback Icons

  1. Click the Participants button in the menu bar to open the Participants panel.

  1. Click any nonverbal feedback icon such as yes, no, etc., to display that response to the right of your name in the participant panel. Clicking on a second icon will overwrite the first, as you can only have a single icon visible at any time.
  2. To clear an icon, click that icon again at the bottom of the window.

Using Chat

  1. Click the Chat icon in the menu bar to open the Chat window.
  2. Type your message in the Text box at the bottom of the window.
  3. Press Enter to send.

NOTE: You can send a message to a single person by clicking the down arrow in the To: field and selecting that participant’s name. 

NOTE: When a chat message occurs while you are in screen share mode, the menu bar will expand and the More option will blink. Clicking on the More icon and selecting Chat from the list will display the Chat box. 

Sharing Your Screen

Both the host and the participants have the ability to share their screen in Zoom. 

  1. Click the Share Screen button on the menu bar to share your screen.
  2. Select the screen or application you would like to share. The Desktop option will allow you to share everything on your desktop.
  3. Click the Share Screen.

The menu bar will move to the edge of your screen.  Rolling over the small menu bar will display the full list of options.

  1. Click the Annotate button to open the annotation menu. Use each option as needed to make notes.
  2. Click the X in the upper right of the annotation menu to close this feature.
  3. Click the More icon to view additional options.
  4. Click Stop Share in the small menu bar to stop your screen share.

NOTE: The host can control who can share their screen, therefore this feature may be disabled in the meeting.

Controlling Someone Else’s Screen

The remote control option in Zoom allows you to request control of someone else’s screen as well as share specific content and give another individual control of your screen.

To request control:

  1. Select Request Remote Control from the View Options drop-down list.
  2. Click the Request button in the dialog box. Once the individual has approved your request, the mini menu bar will indicate that you are controlling their screen.
  3. To stop the control request, select Give Up Remote Control from the View Options drop-down list.

When control is given by someone else:

  1. When an individual has given you control of their screen, a message will appear and the mini menu bar will change to reflect your control.
  2. To stop the control, select Give Up Remote Control from the View Options drop-down list.
  3. To stop this feature, click the Remote Control icon in the menu bar again and select Stop Remote Control.

NOTE: If you have shared your desktop, the individual with control will be able to open, edit, or delete any files. 

Leaving a Meeting

  1. Click the Leave Meeting option in the menu bar to exit the meeting.
  2. Click the Leave Meeting button in the dialog box.

Updating your Zoom Profile

  1. Go to http://conferencing.psu.edu/
  2. Click the Login button in the upper right.
  3. Enter your Access Account user ID and password, if needed.
  4. The Zoom interface will display with the Profile option on the left selected. Update your profile information as needed.

NOTE: You can use the rename feature in the participant list and your window when in video share mode to update your display name for the current meeting only.

NOTE: If you have a photo or image uploaded in your profile, it will display by default when video is activated you do not have your live stream on. If you would like your name to display in its place, remove the photo from your profile.
